OurNextRep – Privacy Policy

This Privacy Policy explains how OurNextRep ("OurNextRep," "we," "us," or "our") collects, uses, stores, and shares information when you use the OurNextRep platform (the "Platform"). By using the Platform, you agree to the collection and use of information as described in this Privacy Policy.


1. Information We Collect

1.1 Information You Provide

We collect information you provide directly, including:

  • Name, email address, and account credentials (Google or Apple sign-in)
  • Profile information (e.g., athlete, guardian, coach, organization details), including athlete date of birth, sports, positions, and optional physical attributes (height, weight)
  • Health-related safety information you choose to provide (e.g., allergies, medical conditions, and emergency contacts for athlete profiles and camp registrations)
  • Addresses and lesson/venue locations, including map coordinates derived from the addresses you enter
  • Photos you upload (profile pictures, athlete and team photos, event banners)
  • Voice notes you record (converted to text; the audio is processed for transcription and is not retained)
  • Lesson details, messages, notes, reviews, and other content you submit
  • Payment-related details (processed by our payment provider; we never store card numbers)
  • Verification documents, if you request ownership of an organization page
  • Identity verification information (coaches only): if you choose to earn a Verified badge, our identity-verification provider (Stripe) collects a photo of a government-issued ID and a selfie to confirm your identity. This check is optional. It is handled entirely by Stripe — OurNextRep receives only the result (verified or not) and never receives or stores your ID document or selfie.

If you create or manage an account for a minor, you provide information on their behalf. See Section 4 (Children's Privacy) for how children's information is handled.

1.2 Information Collected Automatically

When you use the Platform, we may automatically collect:

  • Device and browser information
  • IP address and general location (city/state level)
  • Usage data (pages viewed, features used, timestamps)
  • Log data and error reports

1.3 AI-Related Data

If you use AI-powered features, we may collect:

  • Prompts, inputs, or content submitted to AI features
  • AI-generated outputs associated with your account

This data is used to operate, improve, and protect AI features.

2. How We Use Information

We use collected information to:

  • Operate and maintain the Platform
  • Create and manage user accounts
  • Enable lesson scheduling and communication
  • Provide customer support
  • Improve features, performance, and reliability
  • Monitor usage and prevent abuse or misuse
  • Develop new features, including AI-powered tools
  • Comply with legal obligations

We do not sell your personal information.

3. How We Share Information

We may share information only as necessary:

  • With other users, as required to operate the Platform (e.g., lesson participants)
  • With service providers (e.g., hosting, analytics, AI, messaging, payments if enabled)
  • To comply with legal obligations or lawful requests
  • To protect the rights, safety, and integrity of OurNextRep and users

All service providers are authorized to use data only to perform services for OurNextRep.

4. Children's Privacy (COPPA)

OurNextRep supports accounts involving minors only when created and managed by a parent or legal guardian. Creating an athlete profile for your child is how you, the guardian, consent to the collection described here. OurNextRep accounts are held only by adults: every account holder confirms at signup that they are at least 18 years old and that any athlete profiles they create are for minors in their care as a parent or legal guardian. Children do not have their own logins — a child's information is entered and managed by their guardian, who remains responsible for it.

4.1 Information We Collect About Children

Provided by the guardian:

  • Name, date of birth, and optional photo
  • Sport profile (sports, positions, skill levels) and optional physical attributes
  • Health and safety details the guardian provides for events (allergies, medical conditions, emergency contacts)
  • Booking, attendance, and check-in records for lessons and events

4.2 How Children's Information Is Used and Disclosed

  • Used solely to operate the Platform: bookings, rosters, event check-in, and the child's safety at events
  • Never used for marketing or behavioral advertising, never sold, and never made available to third parties for their own purposes
  • Coaches and event organizers see only the roster information needed to run their lesson or event; health and emergency details are limited to the event's organizer (event helpers see logistics only)
  • Service providers (Section 12) process children's information only to provide the Platform on our behalf

4.3 Parental Rights

As the parent or legal guardian, you can at any time:

  • Review and correct your child's information from your account
  • Delete it: removing an athlete profile, or deleting your own account (Settings → Delete Account on the web, or Profile → Delete account in the app), permanently anonymizes the athletes only you manage — including their medical and emergency details
  • Refuse further collection by removing the athlete profile or closing your account

You can also make any of these requests at support@ournextrep.com; we will verify that you are the child's parent or guardian before acting, and respond within a reasonable time. Health and safety details collected for an event are retained only as long as needed for that event and are then removed by scheduled cleanup. If you believe a child's information has been collected without guardian consent, contact us immediately and we will delete it.

5. Messaging and Communications

Messages sent through the Platform are stored to:

  • Enable communication between users
  • Provide moderation and safety enforcement
  • Support dispute resolution and support requests

We may review messages to investigate abuse, violations, or safety concerns.

6. AI Features and Data Use

AI features are provided to assist users with search, content generation, and data entry.

  • AI outputs may be inaccurate or incomplete
  • You remain responsible for verifying AI-generated content
  • AI usage may be monitored to prevent abuse or excessive usage
  • We may use anonymized or aggregated data to improve AI features

7. Cookies and Tracking Technologies

We may use cookies or similar technologies to:

  • Maintain sessions and authentication
  • Understand Platform usage
  • Improve performance and user experience

You can control cookies through your browser settings, though some features may not function properly without them.

8. Data Retention

We retain information:

  • As long as your account is active
  • As necessary to provide the Platform
  • As required to comply with legal obligations

You may request account deletion, subject to legal and operational requirements. When you delete your account we anonymize or remove your own personal information. However, some content is about you but created by or belonging to someone else — for example, messages other people received from you, and notes a coach or organization wrote about a player. We may keep that content indefinitely as part of the other person’s own records and for safety, dispute, and legal purposes, as permitted by applicable law.

9. Data Security

We implement reasonable administrative, technical, and organizational measures to protect information. However, no system is completely secure. You use the Platform at your own risk.

10. Your Rights and Choices

Depending on your location, you may have rights to:

  • Access or update your personal information
  • Request deletion of your account
  • Object to or restrict certain processing

11. California Privacy Rights (CCPA/CPRA)

This section applies to California residents and supplements the rest of this policy.

In the last 12 months we have collected these categories of personal information, from you directly, from your devices, and from our service providers:

  • Identifiers (name, email address, account identifiers)
  • Customer records (profile details, addresses)
  • Commercial information (bookings, payment records)
  • Internet or electronic network activity (usage and log data)
  • Geolocation data (addresses you enter and, with your permission, device location)
  • Audio information (voice notes, transcribed to text and not retained as audio)
  • Professional information (coach credentials, bio)
  • Sensitive personal information (account credentials; health-related safety details you choose to provide; precise geolocation; and, for coaches who opt into identity verification, government identification and a selfie collected by our verification provider, Stripe)

We do not sell personal information and do not share it for cross-context behavioral advertising — including the personal information of minors — and we use sensitive personal information only to provide the services described in this policy. We disclose personal information only to the service providers in Section 12, under contracts limiting their use to providing services for us.

California residents have the right to know/access, correct, and delete their personal information, the right to data portability, and the right not to be discriminated against for exercising these rights. Exercise them in-app (account deletion: Settings → Delete Account on the web, Profile → Delete account in the app) or by emailing support@ournextrep.com — including through an authorized agent. We verify requests against your account and respond within the timelines the law requires.

12. Third-Party Services and Links

The Platform is operated on infrastructure and services provided by third parties acting on our behalf: hosting and data storage (Vercel, Supabase), authentication (Google, Apple), transactional email (Resend), payments and, for coaches who opt to earn a Verified badge, identity verification (Stripe — card details and any identity-verification documents, including a government ID and selfie, go directly to Stripe and never touch our servers; we receive only the payment status and the pass/fail verification result), address autocomplete and geocoding (Google Maps), AI features including voice-note transcription (Google Gemini), error reporting (Sentry), and mobile push delivery (Expo). These providers are authorized to use data only to perform services for OurNextRep.

The Platform may also link to third-party sites or services. We are not responsible for their privacy practices; their policies govern their use of your information.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. Continued use of the Platform after changes become effective constitutes acceptance of the updated Privacy Policy.
